Every family books its lesson in 2 clicks, without going through Sanna.

Sanna Malick runs She Tutors, an online tutoring service for American high school and college students. She spent 70 hours a week on the business, including bookings, calendars, Meet links, attendance and payments, all by hand. We built the booking system that takes these tasks over.

The problem

Every lesson required a chain of manual steps: find a common slot, put it in the calendars, create the Google Meet link and send it, record who attended, then collect payment. Multiplied by every family and every tutor, that chain took 70 hours a week.

The goal was not one more tool to learn. Families had to book on their own, TutorCruncher, Sanna’s management software, had to remain the single source of truth, and Sanna only had to step in for exceptions.

Nicolas Mathieu designed, built and launched the booking system, which runs on the she-tutors.com site and TutorCruncher.

What we built

  1. A private link per family

    As soon as Sanna creates the family in TutorCruncher, the link reaches its inbox in under a minute. The family sees its tutor’s free slots over four weeks, in its own time zone.

  2. Booking in 2 clicks

    One slot, a length of 60, 90 or 120 minutes: the lesson is created in TutorCruncher at the right rates. Safeguards prevent two lessons from overlapping, even if two families click at the same moment.

  3. Google Meet and card prepayment

    Every scheduled lesson automatically gets its Google Meet invitation, sent to the tutor and the student and kept up to date if the lesson changes. Payment is made by card, in advance, through Stripe.

  4. 24-hour cancellation and no-show alert

    Families can cancel on their own up to 24 hours before the lesson. After that, the lesson is due. If a student does not join, Sanna gets an email after the lesson.

The result

The booking system has been live since 29 September 2026. Every family has its link, every lesson has its invitation, and cancellation rules apply without Sanna having to remind anyone.

We do not claim hours saved here: the figures that matter are the starting point, 70 hours a week of manual admin, and today’s journey, 2 clicks.
